Terms & Conditions

Last updated: September 2026

These Terms & Conditions apply to every booking made with Mwena BV. Please read them carefully before confirming a trip. They should be read together with our Disclaimer and Privacy Policy.

1. Scope and acceptance

These Terms & Conditions ("Terms") govern all bookings made with Mwena BV for tailored private journeys to Zimbabwe. By paying a deposit or otherwise confirming a booking with us, you accept these Terms on behalf of yourself and every person included in your booking, and you confirm you have the authority to do so.

2. How a booking is confirmed

Following your enquiry, we will send you a proposed itinerary and an itemised quote. A booking is only confirmed once we have received your written confirmation that you wish to proceed (for example, by email or WhatsApp) together with your deposit payment in full. Until both of these are received, no accommodation, guide, activity, or other service is guaranteed, regardless of any indicative dates discussed beforehand.

3. Deposit and payment schedule

The following payment schedule applies to all bookings unless otherwise agreed with you in writing:

For bookings made within 60 days of departure, the full trip price is due at the time of booking. If the balance is not received by its due date, we reserve the right to treat the booking as cancelled by you, in which case the cancellation terms in Section 4 apply.

4. Cancellation by you

We understand that plans can change. If you need to cancel a confirmed booking, please notify us in writing as soon as possible. Because we commit to lodges, guides, and other suppliers on your behalf well ahead of your trip, the following cancellation charges apply, calculated as a percentage of the total trip price:

Time of cancellation before departure Amount forfeited
More than 65 days Deposit only (30% of total trip price)
35–65 days 50% of total trip price
Less than 35 days, or no-show 100% of total trip price

Any amount paid above the forfeited percentage will be refunded to you within 14 days of your written cancellation notice. Cancellation date is the date we receive your written notice, not the date of your original booking or your travel dates. We strongly recommend taking out travel insurance that covers trip cancellation from the time you book — see Section 6 and our Disclaimer.

5. Changes by Mwena BV, and force majeure

We will always try to accommodate reasonable changes to a confirmed itinerary where possible. If we need to make a significant change to your trip, or cancel it, for reasons within our control, we will offer you the choice of an alternative itinerary of comparable value or a full refund of amounts paid.

Where a change or cancellation results from events beyond our reasonable control (force majeure — including but not limited to natural disasters, pandemics, civil unrest, or airline or airport disruption), the terms of our Disclaimer apply: we will make every reasonable effort to help you rebook or reschedule, but any refund will depend on the policies of the individual lodges, airlines, and activity providers involved.

6. Travel insurance

Comprehensive travel and medical insurance, including cover for trip cancellation, medical evacuation, and repatriation, is a mandatory requirement for all clients travelling with Mwena BV. Full details are set out in our Disclaimer. We recommend arranging insurance at the time you pay your deposit, so that cancellation cover is in place from the outset of your booking.

7. Prices and currency

Pricing follows the Pricing and availability terms set out in our Disclaimer: figures shown on this website are indicative only. Following your enquiry, we will provide a final, itemised quote in euros (EUR), valid for the period stated on that quote.

8. Liability

Our liability in connection with your booking is governed by the Limitation of Liability section of our Disclaimer, which forms part of these Terms. Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under Belgian law.

9. Complaints

If anything about your trip falls short of what was agreed, please raise it with your guide or with us as soon as possible while still travelling, so we can try to put it right. If you remain unsatisfied after your trip, please write to us at info@mwena.com within 30 days of your return, and we will respond within 14 days.

10. Governing law and jurisdiction

These Terms are governed by and construed in accordance with Belgian law. Any disputes arising in connection with a booking or these Terms shall be subject to the exclusive jurisdiction of the courts of Brussels, Belgium.

11. Changes to these terms

We reserve the right to update these Terms from time to time. Any changes will be published on this page with an updated date. The Terms that applied at the time you paid your deposit will govern your booking, unless a later change is required by law or is more favourable to you.
